Clinician coverage gap planner

Enter required shifts per week for each specialty or site and how many are filled by employed staff, internal float and agency. The planner shows open shifts, coverage percent and the share of required shifts covered by agency.

No default numbers and no benchmarks: the planner only does arithmetic on what you enter.

How to use the planner

  • Add one row per specialty and site, such as hospitalist at one campus.
  • Enter required shifts per week from your schedule template.
  • Enter how many of those shifts are filled by each source this week.
  • Read open shifts, coverage and agency share, then copy the results into your own report.

How the numbers are calculated

  • Filled shifts = employed + internal float + agency.
  • Open shifts = required − filled, shown as zero if filled exceeds required.
  • Coverage percent = filled ÷ required × 100.
  • Agency-covered share = agency-filled shifts ÷ required shifts × 100.

What to do with the result

Rows with high agency share and enough lead time are candidates for your internal float pool. See the shift coverage guide for an internal-first order of options.

Questions about the planner

Does the planner include benchmarks?

No. It uses only the numbers you enter and shows no averages or targets.

Why can coverage be above 100%?

If filled shifts exceed required shifts, coverage shows above 100% and open shifts show as zero, which can indicate overbooking.

Is my data saved?

No. Inputs stay in your browser and are not saved or sent.

How do I share the results?

Use Copy results to place a tab-separated table on your clipboard for a spreadsheet or email.
